Privacy Policy
Effective October 15, 2026
This policy explains how William Asai ("I", "me") handles personal information on the scheduling site at meet.book-tree.org (the "Site"). The Site is a personal booking page. It lets you pick a time to meet with me, and it puts that meeting on my Google Calendar.
1. Information I collect
When you book a meeting, you give me:
- your name and email address (required);
- your company name (optional, business meetings only);
- any notes you choose to add (optional);
- the meeting type and time you selected.
When you browse the Site, I do not use analytics, advertising, or tracking tools, and the Site sets no cookies for visitors. Your time zone is detected in your browser only, to show times correctly, and is not sent to me. The server keeps short-lived technical logs, such as error messages, to keep the Site working. My hosting provider may also process your IP address to deliver the pages.
2. How I use it
- To create the meeting on my calendar and send you a calendar invitation (including a Google Meet link where offered).
- To prepare for, attend, reschedule, or cancel the meeting, and to contact you about it.
- To protect the Site against spam and abuse.
I do not sell your information, use it for advertising, or add you to any mailing list.
3. Where it is stored and who processes it
Your booking details are stored only as an event on my Google Calendar. The Site's own database holds my settings, not visitor data. These service providers process data on my behalf:
| Provider | Role | Location |
|---|---|---|
| Google LLC (Google Calendar, Google Meet) | Stores the calendar event; sends the invitation; hosts the video call | United States and other countries |
| Vultr (The Constant Company, LLC) | Hosts the Site's server | Tokyo, Japan |
| Cloudflare, Inc. | Domain name (DNS) service only; it does not receive your booking details | Global |
Google handles the invitation it sends to you under the Google Privacy Policy. Because Google may process data outside Japan, your information may be transferred to other countries, including the United States, whose data protection laws may differ from those of Japan.
If I invite other people to the meeting, they can see the event, including your name and email address. Otherwise I disclose your information only when the law requires it.
4. How long I keep it
The calendar event stays on my calendar as a record of the meeting. I delete it on request (see section 6) or when I no longer need it. Server logs are rotated automatically and kept only briefly.
5. Google account data (site administrator only)
The Site connects to Google Calendar through my own Google account, and only I can sign in to its admin area. It reads my calendars' free/busy times and calendar list, so it can show open slots. It also creates, lists, and cancels the meetings booked through the Site. It never shows the titles or details of my other events to visitors. The Site's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. This data is not sold, used for advertising, or used to train AI models. The sign-in token is stored on the Site's server, and I can revoke it at any time from my Google account. Signing in to the admin area sets one essential session cookie; visitors never receive it.
6. Your choices and rights
You can ask me to show you, correct, or delete the personal information I hold about you, or to stop using it. Email privacy@book-tree.org. I will respond within a reasonable time, as required by applicable law, including Japan's Act on the Protection of Personal Information. You can also decline or remove the calendar invitation in your own calendar at any time.
7. Security
The Site is served only over HTTPS. The server allows only key-based administrative access, and secrets are stored with restricted permissions. No system is perfectly secure, but I take reasonable steps to protect your information.
8. Children
The Site is not directed to children under 16, and I do not knowingly collect their information.
9. Changes
If this policy changes, I will update it on this page and change the effective date above.
